What is the dress code? 
Business or business casual attire is recommended, and evening attire is required for the Gala Dinner. 

Is the event open to non-members of the organisation? 
Yes, we welcome anyone interested in the topic.

What is the weather forecast? 
Characteristics of Poland's climate: high weather variability; 6 thermal seasons; in eastern Poland, dry continental air predominates (greater annual temperature amplitudes – harsher climate). Average temperature in the month of June is 23 degrees of Celcius, number of days with precipitationare 10 days

Where can I collect my badge?
To collect your personalised badge entitling you to participate in the event, you must register in person at the reception desk at the conference venue. The reception desk is open on 24 June 2026 from 12:00 to 20:00 and since 25 June to 26 June during the following hours 8:00-17:00.

Do I need to print my ticket with the QR code?
No, you can download it to your smartphone and show it during registration. Before printing, consider whether you can use the digital version. Let's take care of our natural resources together.

How do I get there?
The conference venue is approximately 21 km from Chopin Airport and 13 km from the railway station. It can be reached by taxi or public transport. More information here https://ehrc2026.pfhb.pl/venue

Is parking available? 
Yes, the venue offers free outdoor parking.

Will Wi-Fi be available? 
Yes, participants will have access to Wi-Fi.

What happens if the event is cancelled or postponed?
If the event is cancelled or postponed, the organisers will contact you as soon as possible. You will be offered an alternative or a full refund, but the organisers cannot reimburse travel, accommodation or other related costs.


How do I register for the conference?

How can I pay for my registration? 
Payments can be made by bank transfer or via the payment operator Przelewy24(BLIK, fast transfer, credit card). 

What does the registration fee cover? 
The Regular Participant Conference fee covers Welcome Dinner, conference sessions on June 25, coffee breaks, lunches, Gala Dinner, technical tour - farms visit, dinner at a country inn, post-conference tour - “Polish Atmosphere”, conference materials, name badge. It does not cover travel, accommodation or parking costs.

Can I get a refund if I am unable to attend the event? 
A full refund is possible until 28 February 2026. In case of cancellation between 1 March 2026 and 30 April a 50% refund is possible, while after 1 May no refund is possible.

Can I register on site? 
No, the registration is possible only online. You can find the registration form under the link https://ehrc2026.pfhb.pl/registration

How much does it cost to attend the conference?  
The standard registration fee is 650 (including VAT). Discounts are available for early registration and for specific groups of participants. More information here https://ehrc2026.syskonf.pl/fee

What is a pro forma invoice and how do I obtain one? 
A pro forma invoice is a temporary invoice issued and sent to the participant's email address after registration and selection of the bank transfer payment method. The actual invoice will be issued and sent after the payment has been credited.

Can I transfer my registration to another person?
No, registration is personal and cannot be changed. In exceptional circumstances, please contact the organisers at ehrc2026@symposium.pl.

What happens if I do not pay the registration fee in full? 
Please note that full payment is required for conference access. If you haven't received a confirmation email, please reach out to the registration office. Participants who have not cleared their balance in advance will be asked to complete their payment at the registration desk upon arrival.

Does the registration fee include accommodation? 
No, the registration fee does not include accommodation. Participants are responsible for arranging their own accommodation. The organisers offer participants discounts on hotel accommodation, which can be found here https://ehrc2026.pfhb.pl/accommodation.

Will meals be provided? 
Catering is included in the registration fee - includes coffee breaks, lunches and a welcome reception.

What should I do if I lose my badge? 
Lost, forgotten or stolen badges and wristbands will not be replaced free of charge; duplicates will be charged at the conference reception.

Can I attend side events without a conference ticket? 
No, side events are only available to conference participants. Some side events may be subject to additional fees and registration.

Will I receive a certificate of participation? 
Yes, all conference certificates are sent to participants by email after the event.


What is the expected length of presentations? 
Each presentation should last no longer than 15/20 minutes. Session chairs will decide whether there will be questions after each presentation or whether there will be a joint discussion after all presentations.

Will the sessions be recorded? 
Sessions will not be recorded.

How can I make the most of the sessions?
To maximise your experience, create a personalised programme based on your professional goals and interests. Pay attention to the keynote speakers, as they often provide valuable insights into industry trends.

Will there be opportunities to ask questions? 
You are welcome to ask the questions to every speaker after their session.

Is the event being broadcast live? 
The conference organiser does not plan to broadcast the event live; the only option is to attend in person.

Will I be able to record the sessions? 
No, recording sessions, workshops, presentations or other participants is prohibited.

To make your stand stand out, focus on attracting attention while remaining true to your brand. You can use bold, contrasting colours that match your brand, but avoid colours that blend in with other exhibitors. Use lighting to create atmosphere or highlight specific products. Use motion with a video wall or live demonstration to attract attention. You can also use a large focal point, such as a hanging banner (if available at the venue) or unique shapes and materials to direct attendees' attention. Remember, all exhibits must be fire-retardant certified.

What are the best tips for stand design? 
When designing your stand, ensure that key messages are large, concise and placed high up so that they are clearly visible from a distance. Your company logo should be visible and placed on the central panel. Use high-resolution images to avoid pixelation or blurring on printed materials.  Design your stand to ensure good traffic flow, with clear entry points and wide aisles. Finally, maintain brand consistency across all materials, from banners to giveaways.

How can I attract more people to my stand? 
To attract more people, use interactive elements such as games, quizzes, or product simulators. Organising short educational sessions or workshops at your stand can also draw crowds. You can also offer freebies or gifts, such as branded merchandise, to increase traffic to your stand. A photo wall with a branded hashtag can encourage attendees to share their experiences on social media. Creating a relaxation area with comfortable seating and free snacks, drinks, or even a café can make your stand an oasis of calm.

What are the benefits of conference sponsorship? 
Conference sponsorship is a great way to increase brand visibility and recognition. It helps a company build its reputation and credibility, positioning it as an industry leader. Will there be an official conference hotel?

What should I look out for when booking a hotel? 
Be wary of unauthorised third-party organisations that may contact you with fake hotel room offers. These companies may falsely claim to be affiliated with the conference and offer discounts in order to obtain your credit card details.

What should I do if I need to cancel my hotel reservation? 
Each hotel has its own cancellation policy, which you should review when making your reservation. Conference organisers are not responsible for any penalties associated with changing or cancelling your hotel reservation. Please also note that conference organisers are not responsible for travel or accommodation costs in the event of cancellation or rescheduling of the event.

What should I keep in mind when choosing a hotel?
Consider the distance of the hotel from the conference venue, as well as the cancellation policy and whether the hotel offers group discounts. It is also worth looking for hotels that provide amenities such as free breakfast, Wi-Fi, and transportation to and from the conference venue or airport.


Does the organiser take special dietary requirements into account? 
Yes, catering during the conference includes vegetarian and meat dishes. When registering for the event, please also inform the organisers of any special dietary requirements.

Conferences can cater for a wide range of dietary requirements and allergies, including vegetarianism, veganism, gluten-free, dairy-free, nut-free and religious restrictions. Kosher meals are available at an additional cost.

How do you prevent cross-contamination of meals? 
To ensure the safety of participants with allergies, catering staff are trained in preventing cross-contamination in the kitchen. Dishes can be served on separate plates, and buffet-style meals are often used to provide a variety of choices and avoid problems.

How are allergens and ingredients labelled on the menu? 
The menu will include clear markings on display cards indicating what is safe for guests to consume. Typical markings may include "(GF)" for gluten-free dishes, "(VG)" for vegetarian dishes, and "(V)" for vegan dishes.

What should I do if I have health issues during the conference?

How does the on-site registration process work?
You will receive the conference bagde at the registration desk.

What if I have a long name? 
If your name, company name is very long, it can be printed on a new line. In cases where this is not possible, the font size will be reduced to fit within the print area.

Can badges be pre-printed? 
Pre-printed badges work well for smaller events where the list of attendees is fixed in advance. However, on-demand printing is more flexible for last-minute changes or walk-ins.

What happens if there is an Internet or Wi-Fi failure during registration? 
To avoid problems with Wi-Fi failures, some on-site solutions have the badge design and participant data preloaded onto a laptop. This allows the registration process to run smoothly even if the Internet goes down.


Do I need an ID to attend the conference? 
Yes, during on-site registration, you may be asked to show your ID (or other photo ID) if you do not have an individual QR code (which was sent to you by the Organiser via email) confirming your identity.

Can I get a visa invitation? 
Visa invitations are only available to registered participants. Once you have registered and paid the fee, you can request an invitation by filling out the appropriate form available at https://ehrc2026.syskonf.pl/Visa_Information. Can I bring my child with me? 
The conference is intended for adults only. Minors may be present on the premises, but the Organiser does not provide supervision for minors and is not responsible for their safety.

Will there be simultaneous interpretation?
No, sessions and workshops will be conducted in English. 

Will the event be photographed?
Yes, a photographer will be present to document the event. By registering for the conference, you consent to being photographed. The photos will be published on the conference websites and on social media.

Will there be shuttle buses or other means of transport from the airport?

Is it possible to take photos or record videos during the event?
During the conference, photography is permitted for private use only. A photographer will be present at the conference to document the event.

Will there be guided tours? 
Yes, guided tours are available after and during the congress. For the accompanying person we have two tours planned - on 25 June 2026 Warsaw City Tour and on 26 June 2026 - Wilanów Tour. Is there a place where I can leave my luggage? 
You will be able to leave your luggage in the cloakroom of the venue

What should I bring with me to the event?
You should also bring your ID card or other photo ID, as you may be required to confirm your identity during the conference and accompanying events.
